OEG Confluence Revamp — Workplan

Started: 2026-05-20  ·  Owner: Casey Iiams-Hauser (with Claude)  ·  Status: Phase 1 substantial · Phase 2 done · Phase 3 partial · Phase 4 done

Progress as of 2026-05-21: ~60+ pages re-parented under the new audience-aligned structure; homepage rewritten as Start Here; all 7 section landing pages have full Start Here copy with reading order and how-to-get-help; Get Help and Watch & Stay Current pages live under Community; Releases consolidated into a version table; Version Stamp Convention documented. The space looks materially different to a cold visitor than it did 24 hours ago.

What's done

Audit space (187 pages mapped, archive duplicates) — done May 20
Publish this workplan
Create 8 new section landing pages with placeholder summaries (became 7 + homepage as Start Here)
Rewrite homepage as Start Here with audience cards
Re-parent "New User Manual sections to be verified" (+47 children) → Modules & Features
Re-parent "Role-Based Access Control (RBAC)" (+5 children) → Modules & Features
Re-parent "QA Framework" (+1 child) → For Developers
Re-parent "Laboratory Notebooks" → For Lab Staff
Re-parent "Troubleshooting" → For Operators
Re-parent "OpenELIS Global Implementations" (+3 children: Madagascar, Ethiopia, Indonesia) → For Implementers
Re-parent "Meeting notes in space" → Community

What's blocked (tool limitation)

The Atlassian connector's updateConfluencePage doesn't support Confluence's folder-typed objects — those return 404. Folders need a manual drag-and-drop in the Confluence UI. Manual move targets:

Drag Install and Upgrade Documentation folder → For Implementers
Drag Administrator Guide folder → For Lab Staff
Drag Administrator Quick Guide folder → For Lab Staff
Drag End User Guide folder → For Lab Staff
Drag End User Quick Guide folder → For Lab Staff
Drag Deployment folder → For Implementers
Drag Develop folder → For Developers
Drag Initializer folder → For Implementers
Drag Single Sign On setup folder → For Implementers
Drag Google Summer of Code folder → Community
Drag OpenELIS Community folder → Community
Drag Meeting Notes Index folder → Community
Drag LAB QA Features folder → split: QA Menu Release → Modules; QA Narrative (devs) → Developers
Drag OpenELIS Test Catalog Epic folder → Modules & Features
Drag OpenELIS Integrations folder → For Implementers (if non-empty)
Drag New Features and Functionality Roadmap folder → Releases
Drag OpenMRS Integration page → For Implementers (large body — skipped programmatically)
Drag OpenELIS Global Style Guide page → Community (large body — skipped programmatically)
Drag Microbiology Module Walk-through (for developers) page → For Developers (oversized — skipped programmatically)

Estimated 5–10 minutes of UI work to complete Phase 1.

Phase 2 — Start Here entry points

For Lab Staff landing page — split paths for end users vs admins
For Implementers landing page — 5-step Plan→Install→Configure→Integrate→Train
For Developers landing page — onboarding + reference + contribution flow
For Operators landing page — runbook + upgrade + incident playbook
Modules & Features landing page — grouped index of 28+ feature pages
Releases landing page — version table with status lozenges + role-based subscription guide
Community landing page — get-help table + programs + contribution paths

Phase 3 — Content currency framework

Define version-stamp template — see Version Stamp Convention page under Community
Consolidate Past Releases + Older Releases + Current Production + Roadmap — the Releases page now shows a unified version table
Apply version stamps to all production reference pages — per-page editorial work, batch over time
Archive the 18 weekly 2025 meeting notes under Community/Archive/2025 — pending folder moves above

Phase 4 — Customer ↔ community bridge

Create Get Help page under Community — organized by need and by channel
Create Watch & Stay Current guide under Community — Confluence + GitHub + Talk subscriptions, by role
Add Get Help + Watch & Stay Current callouts to homepage
Add Recent Changes macro to homepage (deferred — needs Confluence macro insertion)

Phase 5 — Content normalization (longest tail, queued)

Establish 4 page-type templates (Concept / How-To / Reference / Tutorial)
Re-categorize every page into one of the four types
Decommission Google Doc anchor cross-references (~30 pages affected)
Backlog: migrate external blob/CDN images to Confluence-native attachments
Resolve smartlink-redirect pages (e.g. QA Framework → Playwright) — decide convention

Open questions / decisions

  1. Same space (OEG) vs new clean space + migrate? Decided: same space, in-place reorg. Preserves bookmarks and page IDs.
  2. French content: parallel "(Français)" section under Lab Staff, or separate space? Tentatively: parallel section.
  3. Dev primers on lab processes (QA Narrative, Microbiology walk-through) — keep under Developers, or under Modules with a "for developers" prefix? Tentatively: under Developers / Onboarding for new contributors.

Suggested next session

  1. Complete the manual folder moves listed in Phase 1 (~5–10 min of UI work).

  2. Add the Recent Changes macro to the homepage in the Confluence UI.

  3. Begin Phase 3 stamping pass — verify the End User Manual PARTS 1–16 against the live system, apply version stamps.

  4. Phase 5 can be slotted in opportunistically; it's editorial, not structural.
